Our Process, Your Peace of Mind

At ʻIlima Properties, we take pride in offering attentive, hands-on property management that prioritizes both the protection of your investment and the satisfaction of your tenants. Our process begins with exclusive property showings conducted only by our Rental Manager. This approach not only ensures the security of your property but also allows us to personally meet and assess each prospective tenant, setting the tone for a professional and respectful landlord-tenant relationship from the very beginning.

New Tenants:

Every applicant is required to complete a detailed rental application, which is thoroughly screened using TransUnion services. We verify employment, rental history, creditworthiness, and other key factors to ensure we place only qualified tenants in your unit. Once approved, we collect a security deposit equal to one month’s rent, along with the prorated rent for the remainder of the month. The security deposit is held in a dedicated trust account until the tenant vacates the property.

Before move-in, we execute a comprehensive lease agreement and take the time to review it in detail with the tenant. This step is essential in setting clear expectations and preventing future misunderstandings. A meticulous written check-in inspection is then conducted, documenting the condition of the unit with notes and photographs. This report is signed and dated by both the tenant and the Rental Manager and serves as a reference for the eventual move-out inspection. Once the inspection is complete, keys are handed over and, if applicable, a copy of the building’s House Rules is provided.

During Tenancy: 

Throughout the tenancy, rent is due on the first of each month and considered late after the fifth. To protect our owners from potential losses, we follow a strict and timely delinquency protocol. If rent is not received by the deadline, a five-day demand letter is issued in accordance with the Hawaii Landlord-Tenant Code. Our Rental Manager follows up with phone calls and, if necessary, in-person visits to resolve the issue. If the matter remains unresolved, we coordinate with legal counsel to initiate eviction proceedings though such cases are rare due to our thorough screening process.

Routine property inspections are a cornerstone of our management strategy. These inspections help us ensure that your unit is being properly maintained, identify any lease or house rule violations, and catch minor maintenance issues before they become costly repairs. Inspection findings also inform our decisions regarding lease renewals. In addition to our own observations, we benefit from strong working relationships with trusted vendors, creating a collaborative team that keeps your property running smoothly.

Maintenance & Repairs: 

Maintenance and repair work is handled by licensed, reliable vendors who meet our high standards for quality and professionalism. We pass along any vendor discounts directly to our owners, helping to reduce costs without compromising service. For any repairs exceeding $500, we obtain owner approval before proceeding—unless an emergency situation requires immediate action, such as a plumbing failure or broken entry point.

Administrative & Financial Duties: 

Our administrative and financial services are designed to make ownership as effortless as possible. Each month, owners receive a detailed income and expense statement along with copies of all paid invoices. Rental proceeds can be mailed or deposited directly into your bank account via ACH. We also handle the payment of maintenance fees, lease rents, and other property-related bills at no additional charge.

We maintain organized records of all inspections, invoices, warranties, and tenant communications. Owners are kept informed of upcoming lease renewals, vacancies, and market rent reviews to ensure your property remains competitive and profitable. For after-hours emergencies, tenants and owners can reach us through our 24-hour answering service, ensuring that urgent issues are addressed promptly and professionally.
